Quality Assurance Manager,

Department: Quality Assurance, NSL Analytical

Reports To: President

FLSA Status: Exempt

Position Summary:

This position has the defined responsibility and authority for ensuring that the management system related to quality is implemented and followed at all times. The Quality Assurance Manager is primarily responsible for providing leadership necessary to maintain and implement the quality control criteria for certifications and for the monitoring and verification of all levels of quality to adhere to the quality systems referred to in the Quality Assurance Manual. This position is responsible for ensuring compliance with Nadcap and ISO/IEC 17025:2005 requirements as defined in the quality manual.

Essential Functions:

1. Quality Assurance Program, Criteria, and Administration: Establishes and implements quality assurance criteria, communicates criteria to staff, monitors criteria for compliance to maintain certifications and to perform testing according to customer’s specifications, and performs various administrative and managerial duties contributing to NSL's overall quality goals and objectives in order to improve quality of samples delivered to clients and reduce re-work, as defined by the strategic plan.

Establishes acceptable standards for all analytical determinations including standards of performance and standard deviations, i.e. accuracy, reproducibility, etc. for all analytical determinations recorded.

Develops, implements and maintains the quality system and documentation as defined in the Quality Assurance Manual.

Ensures periodic updates of the Quality Assurance Manual and redistributes as appropriate.

Reviews customer purchase orders for quality requirements and ensures revisions in the specifications are communicated to the staff appropriately.

Oversees the review of purchase orders for reagents and chemicals for assurance to the latest requirements and reviews material receiving documents as a part of procurement control.

Ensures “Technical Document Change Notices” are processed appropriately, including communicating the revisions through the proper channels receiving management approval and customer and employee communications.

Continually monitors current quality systems, criteria and methods and formulates new and revised systems to enhance the company’s overall quality assurance program.

Creates Standard Operation Procedures (SOPs) and work constructions for quality.

Recommends changes in process, procedures, criteria, equipment, etc. with specifics to coordinate proposed changes to President.

Ensures approved policies and goals are clearly understood and effectively applied to assigned areas.

Conducts supplier surveys, as necessary, to promote continual improvement in quality.

Actively participates as a member of management in a professional team oriented style.

2. Quality Assurance Problems: Professionally and promptly addresses quality assurance problems ensuring efficient and effective resolution in order to retain customers.

Receives and reviews all customer complaints and identifies problems, assigning corrective action requests as necessary.

Monitors processing of corrective action requests and coordinates problem resolution with staff documenting issues and corrective action notifying customers as necessary.

Addresses the quality assurance systems if standards cannot be adhered to consistently, coordinates revisions with staff, customers and vendors/suppliers as appropriate.

Addresses quality assurance problems identified through internal or external audits to ensure quality customer service and compliance with various accreditations and government requirements.

 

3. Quality Assurance Audits: Performs and/or coordinates quality assurance audits both internally and externally to ensure an efficient and effective quality assurance program in order to reduce and minimize quality issues with customers.

Coordinates and hosts all audits performed by customers and industry representatives.

Continually conducts internal audits on processes, equipment, specifications, etc. to ensure that capabilities meet with established criteria stated in the Quality Assurance Manual.

Responds within thirty days (or earlier as requested by customer) to resolve to audit findings, observations, and suggestions, by providing paper audit response or other appropriate responses.

Conducts audits on testing suppliers as defined by Quality Systems.

Conducts audits on current as well as prospective subcontractors determining if organizations meets the company’s quality assurance standards.

Organizes Round Robin / Proficiency testing.

 

4. Quality Assurance Training: Oversees and directs the company's quality assurance training program for all analytical specialties within NSL to reduce and minimize quality errors to customers and to improve the effectiveness and efficiency of production for the lab.

Develops and implements NSL’s Quality Assurance Training Program.

Conducts general quality control training for all staff as appropriate.

 

5. Employee Relations, Ethics and Confidentiality: Upholds NSL’s corporate initiatives and operating principles with respect to interacting with employees and customers, through supporting NSL’s strategic plan, to promote and develop NSL as an employer of choice .

Establishes and maintains positive, productive working environment for employees by exhibiting professional behavior and performance and through fair and consistent administration of policies and procedures, ensuring efficient working habits and compliance with company objectives and applicable government regulations.

Maintains highest standards of ethics and confidentiality at all times, including assuring that complete confidentiality is kept and maintained on all company-related processes, techniques, and services.

Assumes additional functions and duties as required.

Performs special projects and/or other duties as assigned.

Qualifications (Knowledge, Skills, Abilities, Education, Experience):

Ten to fifteen years of quality experience, with a minimum of five years of lab experience.

Associate degree in Chemistry or a related field / technical discipline or the equivalent in work experience. Bachelor’s degree preferred.

Experience with ISO 17025, Nadcap, quality assurance systems, ASTM methods, auditing and materials analysis.

Excellent oral and written communication skills

Ability to organize, coordinate and handle multiple projects at once.

Strong detail orientation

Ability and aptitude to develop position and department, including quality systems, controls and auditing functions.

Success Factors:

Strong leadership and project management skills.

Minimize customer complaints while supporting the growth of the business with the goal of reducing customer complaints to zero.

Work Conditions/Physical Demands:

General office environment: sitting at desk/computer; frequent standing and walking; occasional pulling, pushing, carrying, reaching, bending, and stooping. Occasional to frequent exposure to dust, odors, fumes, etc. from the lab area.
